Quick Inventory Import

Getting your chemical inventory into Tellus shouldn't slow you down. Quick Import gives you multiple ways to capture inventory data fast — from scanning barcodes on the warehouse floor to uploading spreadsheets at your desk.

How It Works

Quick Import uses a two-step workflow:

  1. Capture — Field workers quickly add items using any import method
  2. Review & Approve — Supervisors review, correct, and approve items before they go into your final inventory

This separation means anyone can help capture inventory without worrying about perfect data entry. Your supervisor handles the quality control.

Import Methods

Photo Capture (Mobile)

Walk the warehouse floor and take photos of product labels. Tellus uses AI and OCR to extract product information automatically.

  1. Select your site and location (stays set for your session)
  2. Take 1-5 photos of the product label
  3. Enter quantity and unit
  4. Add optional notes (e.g., "container leaking", "label faded")
  5. Tap Add Another to keep going

Tellus processes your photos in the background — extracting text, reading barcodes, and matching to known products. You'll see the match results during the review step.

Barcode Scan (Mobile)

For products with readable barcodes, scanning is the fastest method. Point your camera at the barcode, enter the quantity, and move on. Tellus matches the barcode to your product catalog in the background.

  • Scan 50+ items without waiting for server responses
  • Matching results appear during supervisor review
  • Works offline (matches happen when you're back online)

Excel / CSV Import

Migrating from spreadsheets or another system? Upload your existing data.

  1. Download our template (optional — we can map your columns)
  2. Upload your Excel or CSV file
  3. Map columns to fields if not using the template
  4. Preview data and fix any validation warnings
  5. Submit for review

Required columns: Product Name, Quantity Optional columns: Manufacturer, Barcode/UPC, Unit, Site Name, Location Name, Notes

Invoice / Purchase Order Upload

Turn invoices into inventory entries. Upload a PDF or image of your invoice, and Tellus extracts the line items using AI.

  • Supports PDF invoices and images (JPG, PNG)
  • Extracts product name, manufacturer, quantity, and unit
  • Assign a default site/location, or set per item during review

Add from SDS Library

If you've already uploaded SDS documents, you can create inventory entries directly from your SDS library. Product name, manufacturer, and hazard information are pre-populated from the SDS.

Just select the SDS documents, enter quantity and location, and you're done.

Copy from Another Site

Setting up a new location with similar chemicals? Copy inventory from an existing site.

  • Copy mode — Creates duplicate entries at the new site (original stays)
  • Transfer mode — Moves inventory to the new site

Select which items to copy and adjust quantities as needed.

Review & Approve

All imported items land in a staging area for supervisor review before going into your final inventory. The review dashboard shows:

  • Upload sessions grouped by method, date, and who captured them
  • Match confidence for each item (green = high confidence, yellow = needs attention, red = no match)
  • Batch approve/reject to move through items quickly
  • Edit any item to correct product names, quantities, or locations

What Happens During Review

Tellus automatically tries to match each imported item to your existing product catalog and SDS library:

  • Barcode match — Exact barcode match to a known product (highest confidence)
  • Name match — Fuzzy name matching against your catalog
  • OCR match — Text extracted from photos matched to SDS documents
  • No match — Marked as a new product for manual entry

Items can be added to inventory without an SDS attached. They'll be flagged so you can attach an SDS later.
